Group flight booking means asking an airline for one quote and one contract for a party flying together, usually 10 or more people on the same flights. You send the airline your route, dates and headcount. It returns a group fare, you pay a deposit to hold the seats, and you submit names and final payment by set deadlines. Smaller parties book regular tickets. Below, you get the rules, a step-by-step process, a way to compare a group quote with separate tickets, and a checklist for each stage.
TL;DR
- Airlines generally treat 10 or more travelers on the same itinerary as a group. With fewer, you book individual tickets.
- Request a quote early, then watch the deadlines for deposit, passenger names, final payment and ticketing. They differ by airline.
- A group fare is not always cheaper. Its value is a locked price for everyone, seats together and more flexible terms.
- Collect exact legal names, dates and a budget before you ask for quotes. Most delays come from missing details.
- If coordinating this yourself feels like a second job, an agent can run the process from inquiry to return flight.

What counts as a group booking
The usual threshold is 10 passengers. Washburn University's guidance says group tickets are designed for 10 or more travelers on the same itinerary, and that you must book individual tickets with fewer than 10. JetBlue uses the same minimum of 10 people on the same flights.
Two details matter:
- Common flights, not necessarily the whole trip. Delta defines a group as 10 or more passengers traveling together on at least one common flight segment.
- The minimum has to hold. At Delta, if the group falls below 10, the booking is cancelled and any deposit is forfeited. You can then ask about booking the remaining travelers as individuals. Before you collect money from friends or relatives, be sure the headcount is firm.
The threshold varies. Ryanair handles groups through a dedicated team from 15 passengers. easyJet lets you book groups directly on its website up to 40 passengers. Check the carrier's own page before you assume 10.
How group booking differs from buying individual tickets
With individual tickets, each traveler's price depends on what is available when that person buys. Washburn's guidance notes that prices can change as seats are purchased, so timing matters. With a group contract, Perk describes the usual benefit as fare consistency: one agreed fare for the whole group instead of prices that vary by traveler and booking time.
Airlines are also direct that a group fare is not a coupon. JetBlue says it does not discount group fares. easyJet says its group bookings are not discounted, but come with one guaranteed price for all members and seating together. Jetstar says group fares generally cost more than internet rates, but include flexible payments, free unlimited name changes, free standard seat selection, pooled baggage and dedicated support.
So a group booking buys you certainty and flexibility. Whether that is worth it depends on your group, and the comparison section below shows how to decide.

How to book flights for a large group, step by step
1. Gather the facts first
Perk recommends collecting traveler numbers, routes, dates, budget, approvals and special requirements before requesting any quote. In practice, prepare:
- Number of travelers, split into adults, children and infants
- Departure city, destination and a primary date plus one or two flexible alternatives
- Whether everyone departs and returns together
- Budget per person
- Special needs: wheelchair assistance, extra baggage, sports or musical equipment
- Who has authority to approve and pay
2. Request a quote early
Timing rules differ. KLM accepts group quote requests up to 11 months before departure and aims to send an obligation-free offer within three working days. Ryanair gives a value quote valid for 5 days, subject to fare, seat and flight availability, and its group booking deadline is 14 days before departure. JetBlue group quotes are valid for up to two weeks when you book 120 days or more before departure.

The lesson: quotes expire. Ask for one when your dates and headcount are close to final, and be ready to answer within the validity window.
3. Hold the seats
After you accept, most airlines ask for a deposit. KLM offers an option of up to 14 days free of charge before you confirm, and on confirmation asks for 30% of the net fare per seat. JetBlue holds seats with a non-refundable $50-per-seat deposit, or $150 per seat on transatlantic routes. Frontier asks for $5.00 per passenger on acceptance plus a $40 per person deposit within five business days, for bookings made at least 60 days before the first flight.
4. Submit names and pay the balance
This is where most groups run into trouble. Name and payment deadlines are tight and carrier-specific:
| Airline | Names due | Final payment |
|---|---|---|
| Frontier | 21 days before departure | 60 days before outbound travel |
| JetBlue | 30 days before travel | Deposit held until 30 days before departure (60 for international within the Americas) |
| KLM | Per agreement | Final invoice no later than 32 days before departure, paid at least 30 days before |
| British Airways (UK and Ireland groups) | 2 weeks before departure | 8 weeks before departure; 20% non-refundable deposit within two weeks of confirmation |
| Lufthansa | At least 14 days before departure | Tickets issued 14 days before departure |
| easyJet | 5 days before departure | Payment up front on web bookings |
Use this table to see the range, not as the current rule for your trip. Always read the contract you receive.
When you book closer to departure, the schedule compresses. British Airways requires no deposit for bookings made between 8 weeks and 2 weeks before departure, but then asks for full payment at the time of booking.
5. Ticketing
Once names and payment are in, tickets are issued. Some carriers issue early. SWISS issues tickets immediately after you accept the contract, which means final names are needed at that point.
Names, baggage and changes: what to read in the contract
Before you sign, check five things.
Names. Frontier requires the full legal name to match the government-issued photo ID used at airport security, and asks for last name, first name, middle name, gender and date of birth. A misspelled name is the most avoidable problem in group travel. Ask every traveler to send a photo of their passport page or ID, and copy the spelling exactly.
Name changes. The rules vary widely. Jetstar offers free unlimited name changes. Lufthansa allows free changes before ticket issuance, but after issuance a fee of 100 euros per passenger name applies, and rebooking is not permitted.
Baggage. SWISS asks you to pre-advise the group department of extra baggage needs, including measurements and weight. Oversized and heavy bags and sports equipment are paid at the airport.
Payment method. easyJet accepts credit card, direct deposit and agency payment, with multiple cards possible via its Groups Team. SWISS accepts one card for the whole group. KLM requires a bank transfer for the deposit. Decide who is paying before you request the quote.
Cancellations and refunds. These depend on whether tickets have been issued and on the contract. Perk notes that group contracts may set deadlines for deposits, final payment, traveler names, ticketing, cancellations and changes. Put every deadline in a shared calendar the day you receive the contract.
Group quote or individual tickets?
Compare on terms, not just the headline fare. Perk suggests comparing fare consistency, same-flight availability, name-change flexibility, booking speed and supplier terms. Group bookings suit larger or more complex trips, while individual tickets can suit smaller parties below the airline's threshold.
A simple decision guide:
| Your situation | Likely better fit |
|---|---|
| 10+ people, same flights, hard to coordinate purchases | Group quote |
| You need seats together and one price for everyone | Group quote |
| Names may change before departure | Group quote with flexible name rules |
| Fewer than 10 travelers | Individual tickets |
| Travelers start from different cities or can buy on different days | Individual tickets, or a mix |
To compare fairly, ask the airline or agent for the all-in group price, including taxes and fees. KLM bases its quote on passenger numbers, available seats, destination, travel period and the average ticket price for the class, taxes and booking fees included. Then price the same flights as individual tickets for the same number of people, and add the value of terms you care about: seats together, name changes, payment in stages.
Tips for coordinating a family, tour group or business team
- Name one point person. One person talks to the airline or agent, collects documents and sends reminders.
- Collect documents on day one. Passport validity and visa requirements vary by destination. Ask travelers to check these before you pay a deposit.
- Set an internal deadline earlier than the airline's. If names are due 21 days out, ask travelers for them 35 days out.
- Agree on a refund policy with your group. Deposits can be non-refundable, so decide who bears that risk before you collect money.
- Keep a short list of alternates. If a traveler drops out and the group nears the minimum, you can fill the seat.
- Think about ground arrangements too. Flights are only part of the day. For arrivals in the Philippines, a airport-to-hotel transfer plan keeps a big group from splitting up at the curb.

Our perspective
Most group travel trouble is not about the fare. It is about nobody owning the details: the misspelled name, the missed deposit date, the one traveler who dropped out after the group fell under the minimum.
That is why we work the way we do. At CieloAmor, real people stay reachable from the first inquiry until the return flight, so a group has someone to call when a deadline is close or a plan changes. We also build the trip around the flights, with hotels, transfers, tours and visa assistance handled together, so the flight schedule fits the rest of the itinerary rather than the other way around.
If you are organizing a family, a team or a barkada, our advice is to settle the headcount, collect legal names early and put every airline deadline in one shared calendar. Then hand the paperwork to someone who does it every day.

FAQ
How many people do you need for a group flight booking?
Most major airlines set the minimum at 10 travelers on the same flights. JetBlue and Delta both use 10, while Ryanair uses 15 for its group team. Below the minimum, book individual tickets.
Is group airfare cheaper than individual tickets?
Not necessarily. JetBlue says it does not discount group fares, and Jetstar says group fares generally cost more than internet rates. What you get is one agreed price, seats together and more flexible terms. Compare the all-in price and the terms side by side.
When should I request a group quote?
As early as your dates and headcount are reasonably firm. KLM accepts requests up to 11 months ahead, and quotes at several airlines expire within days or weeks. Closer to departure, British Airways moves to full payment at booking.
What happens if someone drops out of the group?
It depends on the contract. Some airlines allow name changes, and Jetstar offers them free. If the group falls below the minimum, Delta cancels the booking and keeps the deposit. Read the name-change and cancellation terms before you pay.
Can I pay for a group with one credit card?
Often yes, but rules differ. SWISS accepts one card for the whole group, and easyJet allows multiple cards through its Groups Team. KLM requires a bank transfer for the deposit.
